RFP 26-07 Offsite Records Storage

The City of Bartow, Florida (“City”) is actively seeking a qualified and experienced firm to provide offsite records storage and scanning services in accordance with Florida Department of State. The City currently stores approximately 2,000 cubic feet of documents at an offsite facility. Additional boxes may be added over time. Most boxes stored are standard letter-size 1.5 cubic feet and legal-file 2.0 cubic feet; other box sizes vary from plan boxes to large container boxes and are approximately 6.0 cubic feet in size. The selected vendor must have the ability to accomplish the certified destruction of records stored at their facility as well the transportation of records. The selected vendor must also provide scan on-demand, indexing, conversion, and destruction services. All records management services are required to adhere to statutory provisions of Chapter 119, Florida Statutes and Rule 1B-26.003, Florida Administrative Code. The scope of services provided shall be construed broadly to include all matters related to said services.
