(1) Vendor needs to provide web–based fleet management software. – Provide and implement a web–based fleet management software system includes system configuration, migration of existing fleet data and historical records, employee training, and ongoing software maintenance and technical support.– The software must allow authorized users to perform the following functions.1. Asset Records2. System configuration3. Employee management and user permissions4. Work orders: The software must allow authorized users to create, modify, complete, anddelete work orders.5. Reporting: The software must allow authorized users to generate reports6. Search Functions7. Preferred Features• The ability to submit work and appointment requests through a web–based interface;• A built–in calendar that displays work and appointment requests as a schedule for mechanics;• The ability to complete work orders using a tablet or mobile device; and• A single page for completing work orders and entering labor, parts, notes, and related information.– The selected firm will be expected to provide system access for internal and external users, including system administrators, program staff, and the program manager.– The system must permit data access and support the creation and generation of reports from data captured within the application.– The selected firm will be expected to provide ongoing support to troubleshoot issues that arise during the first year after delivery.– The selected firm shall develop and coordinate a transition and cutover plan for migration from the County’s existing Hyperweb fleet management system to the proposed system.(2) All the questions must be submitted no later than September 24, 2026.
