(1) Vendor needs to provide cloud–based asset management system.– Platform for managing physical assets, field operations, work orders, routine and preventive maintenance, inspections, service requests, inventory, contracted maintenance activities, and related operational data.– Implement a centralized platform capable of supporting multiple departments, operational divisions, and asset classes while providing a consistent framework for managing the full lifecycle of city assets.– Project initiation and business process review and software solution.– Core capabilities: Asset and lifecycle management, work order and field operations, GIS and customer service, secure cloud hosting.– Support a broad range of city assets and operational activities while maintaining a consistent enterprise framework that can be expanded to additional departments or asset classes over time.– Asset hierarchy, data conversion, migration, and quality control.– Develop and execute a comprehensive data–conversion strategy for information the city determines should be retained in the new system.– Data may include asset records, locations, GIS references, work orders, preventive–maintenance schedules, inspections, service requests, customer information, photographs and attachments, maintenance history, warranties, inventory records, contractor information, cost information, and other relevant records.– Integrations may include GIS, enterprise resource planning or financial systems, identity and access management, email and notification services, permitting systems, telematics, fuel–management systems, document–management platforms, customer–facing applications, and other City systems identified during discovery– Solution shall provide a public–facing method for residents and other users to submit and track service requests and communicate relevant information to the city.– Configure and deploy mobile functionality appropriate for maintenance personnel, inspectors, supervisors, and other field users.– Mobile experience should emphasize efficient field workflows and minimize unnecessary navigation or data entry while capturing sufficient information to support operational management, asset history, cost tracking, reporting, and accountability.– Solution is expected to support, at a minimum, GIS and spatial workflows, mobile field operations, citizen request and CRM functionality; contractor and vendor management, work orders and inspections; asset lifecycle and preventive maintenance, automation.(2) All questions must be submitted no later than October 9,2026.
