Vendor needs to provide health and safety management system. – Provide a customizable Safety Management System (SMS) with functionality to manage Incidents and investigations, Corrective and Preventative Actions (CAPA), safety meetings, trainings and certifications, Behavior Based Safety (BBS) management and audits and inspections, near misses, safety inspections, vehicle incidents, root causes, corrective actions and safety data sheets. • The safety software suite shall include the following modules:– Safety management suite– Chemical management suite• Software shall provide telephonic and web–based customer support that can be accessed by agency administrative staff. • Being configurable for agency’s reporting structure.• Provide email notifications to designated personnel for new incidents, near misses and inspections.• Being capable of: Single Sign–On (SSO), active directory/Entra ID integration, Automated employee onboarding and offboarding, API capabilities and ability to integrate with Power BI.• Providing email notifications for corrective action assignments, completions and past due assignments.• Providing updated safety data sheets as they become available from chemical manufacturers and distributors.• Being capable of providing required electronic documentation to the agency.• Being capable of creating customizable inspection forms.• Providing an Apple App to document new records.• Providing assurance to the State of Illinois regarding software security management.• Setting up the initial Chemical Management Suite with agency required updated safety data sheets by location.• Workflow and notification requirements:– Configurable approval workflows– Escalation notifications – Overdue corrective action alerts – Supervisor notifications – Executive dashboards• Implementation and support expectations:– Dedicated implementation team– Project manager assignment– Data migration support– Training requirements– Administrator training
