(1) Vendor needs to provide cloud–based Before, After, and Summer Enrichment (BASE) replacement software. – Provide turnkey, cloud–based information technology solution to comprehensively manage its before– and after–school programs, non–school day programs, school break programs, and full–day programming.– Solution must provide an integrated platform that supports program registration and enrollment; student waitlist management; student and family information.– Digital attendance and real–time student tracking, including assigned location, group, and supervising staff member; automated invoicing and payment processing; and a secure online parent or guardian portal with online registration and customizable attendance schedule selection.– Solution must also support subsidized program administration through a detailed payment ledger that clearly separates parent or guardian financial responsibility from the government entity’s responsibility, including the applicable subsidized parental fee.– Solution must provide comprehensive financial and operational reporting, waitlist and enrollment management, and organizational reporting tools designed to improve data accuracy, streamline workflows, eliminate duplicate data entry, and significantly reduce manual student and financial data entry.– Ability to configure system permissions, payment codes, locations, users, accounting management, and data management.– Ability to delete or merge a duplicate account.– Online registration system with fully customizable fields to include all required licensing and department information, digital signature storage, and document upload capability for families.– Mobile device performance optimization for online portal and registration system.– Ability to customize tracking information including allergies, medications, health conditions, changeable assigned groups, and grades, customizable by site or program to support unique operational needs and workflows.(2) The contract period will be for one year.
