(1) Vendor needs to provide event planning services.• Project Management and Event Coordinationa. Provide overall project management, including event planning, coordination, timelines, and implementation.b. Serve as the primary liaison for venue/facility communications and coordination.c. Provide onsite event management and coordination.d. Coordinate food and beverage, decor, entertainment, collateral, and attendee giveaways/swags, as applicable.e. Provide post–event reporting, including agreed–upon event, registration, attendance, and other custom reporting.• Vendor Sourcing, Contracting, and Productiona. Source and coordinate event vendors and production services based on Agency requirements.b. Source, negotiate, and manage audiovisual services, as directed by the Agency.c. Manage vendor coordination and contract obligations within the scope authorized by the Agency.• Registration, Event Registration Website and Data Managementa. Design, build, and facilitate online event registration.b. Receive and process online registrations.c. Integrate registration with the event website or other Agency–designated platforms, as applicable.d. Create and distribute registration confirmations, attendee notifications, and surveys.e. Manage attendee data in accordance with applicable data privacy and security requirements.• Graphic design and printing supporta. Coordinate with organization to provide graphic design support services for conference program/schedule.b. Print and assemble programs/schedules.c. Design and print event room signage.(2) The contract period will be for five years.(3) All the questions must be submitted no later than November 5, 2026.
