EQU-19255 - USA (Hollywood, Florida) - Multi-Function Device Fleet Replacement, Lease, and Cost-Per-Copy Maintenance Services - Deadline September 15,2026

(1) Vendor needs to provide multi–function device fleet replacement, lease, and cost–per–copy maintenance services to the government authority located in Hollywood, FL.– Conduct a comprehensive fleet assessment and propose a right–sized device deployment plan.– Provide new (not refurbished, remanufactured, or previously placed) MFDs under a 60–month lease.– Deliver, install, configure, and network all devices, including integration with the City’s existing Papercut MF environment.– Provide all–inclusive maintenance, repair, and consumable supplies under a cost–per–copy agreement.– Provide end–user and administrator training.– Provide automated meter collection, consolidated invoicing, fleet reporting, and dedicated account management.– Remove and properly dispose of, or coordinate return of, the City’s incumbent fleet, including certified data sanitization of all storage media.– The fleet shall consist primarily of letter/legal (8.5″×11″ and 8.5″×14″) devices, with a limited number of 11″×17″ (tabloid/A3) capable devices deployed in departments with documented large–format needs.– All devices shall support automatic duplex printing and copying, single–pass duplex scanning, scan–to–email, and scan–to–network–folder.– All devices shall support standard print drivers (PCL6 and PostScript) compatible with the City’s Windows–based environment, and shall be compatible with the City’s network infrastructure.(2) All the questions must be submitted no later than August 25, 2026.(3) Non–mandatory pre–bid meeting will be held on August 19, 2026.
