(1) Vendor needs to provide event coordination service.• Event Planning and Logisticsa. Pre–Event Preparation:– Coordinate with the agency to assure space availability at the Agency onbehalf of the agency.– Coordinate hospitality services per agency nutrition guidelines as needed.– Coordinate technology setup and room arrangements as needed.b. Event Coordination:– Oversee on–site logistics, including event setup, vendor coordination, andparticipant support.– Be available during the event to address any issues or concerns that mayarise. Does not need to be physically on–site.b. Post–Event Follow–Up:– Provide invoice within 45 days of each meeting.c. Expense Management:– Process and manage expenses related to event logistics, including venuecosts, supplies, and hospitality services.– Complete payments within six (6) weeks of receiving invoices.
