(1) Vendor needs to provide document collection, preparation, scanning, indexing services. – Provide secure collection, preparation, scanning, indexing, electronic delivery of municipal records and large–format documents, and destruction and/or return of original documents.– The vendor shall provide comprehensive document scanning and digitization services for records, including standard paper documents, archival files, and large–format plans. – Services shall include secure transport, document preparation, scanning, indexing, quality control, and return or disposition of records as directed.– The vendor shall be responsible for packaging all documents for transport.– The vendor shall provide offsite scanning services at an approved secure facility.– Secure return of physical documents upon request or at project completion.– Scanning of both standard–size and large–format documents.– Maintenance of a documented chain–of–custody process to ensure records are monitored and accounted for throughout all stages of handling, processing, and delivery.– Electronic delivery of completed digital files to the municipality in an agreed–upon format and transfer method.– Scanning of documents in a mutually agreed upon accessible and searchable PDF–A format.– Total Volume Estimate:• 750,000 standard pages – mostly 8.5“ x 11“ Standard Copy Paper• 13,000 wide format images/files – 24” x 36”(2) Pre–bid Walkthrough will be held on November 3, 2026.
