Vendor needs to provide event coordination service. – The bidder shall provide a detailed plan for fulfilling the following tasks to facilitate the planning, coordination, and execution of eight (8) meetings with attention to detail and coordination across stakeholders.– Pre–Event Preparation:• Coordinate technology setup and room arrangements as needed.– Event Coordination:• Oversee on–site logistics, including event setup, vendor coordination, and participant support.• Be available during the event to address any issues or concerns that may arise. Does not need to be physically on–site.– Post–Event Follow–Up:Provide invoice within 45 days of each meeting.– Expense Management:• Process and manage expenses related to event logistics, including venue costs, supplies, and hospitality services.• Complete payments within six (6) weeks of receiving invoices.
