(1) Vendor needs to provide audio video system to the government authority located in Evanston, IL.• Provide a reliable, user–friendly system supporting presentations, meetings, hybrid meetings, video conferencing, and remote participation• The auditorium sound system, stage lighting system, assisted listening system, and auditorium video projection system (including projector, motorized screen, and primary video switcher) are being procured under a separate Sound, Lighting, and Video Projection contract• The system shall support both in–person and remote participants without requiring specialized technical expertise for routine operation.• The system shall also support presentation content and projection to the auditorium.– Functional Requirements• Support hybrid meetings in which remote participants can participate in two–way audio and video communication with people in the auditorium.• Provide cameras capable of capturing the auditorium/stage and presenters at appropriate image quality for remote participation.• Provide automatic camera tracking or other automated camera–positioning functionality appropriate to the intended uses, where technically appropriate.• Allow remote participants to be displayed through the auditorium projector and projection screen furnished under the separate Sound, Lighting, and Video Projection contract.• Allow presentation content from local and/or remote sources to be displayed through the separately furnished auditorium projection system.• Provide appropriate microphones or audio acquisition equipment for the AV/conferencing system.– These microphones shall be separate from the microphones provided as part of the auditorium sound system unless otherwise approved by the City.(2) The contract period will be for one year.(3) Non–Mandatory Virtual Pre–Bid Meeting will be held on October 29, 2026.
