(1) Vendor needs to provide paper to electronic format documents scanning, digital image, indexing and converting services.– Converting city paper documents into an electronic format. The documents need to be scanned, indexed, and organize into digital records, aiming for better access, efficiency, and storage reduction, requiring detailed project plans, cost breakdowns, and technical specs for scanning/indexing, data conversion– Scan paper files and convert images to a digital image format for digital record keeping purposes. planning and development department has several categories of files with slightly differing file makeup and file naming needs.– Planning and Development Department files need to be converted to a PDF format and appropriately named using a naming scheme format provided by Planning and Development Department– Will provide Document Prepping services that include but are not limited to Staple Removal, Page Repair, Taping, Sort of Large Format, unfolding, and barcodes– Document Scanning Services that include but are not limited to a Scanner/Large Format/Plotter Scanner, 500 dpi, duplex, B&W, Color, auto blank page deletion, auto rotation, and other clean up filters– Document indexing services that may include potential hand keying or customization program that can accurately create file names for the documents that later will be searchable using computer software.– Streets & Stormwater and Plat:• Estimate 48 boxes: with an estimated 50,000 pages total– Planning Commission:• Estimate: There are 24 Plan Commission boxes, each box has an estimated 1,250 pages, this is roughly 30,000 pages total.(2) A pre–proposal site visit and document inspections had been held on July 30,2026.(3) All question must be submitted no later than August 3, 2026.
