Response to Vendor Question asking for Clarification of MedStation Requirements: Please see attached SOW that pertains to the MedStation ES Unit: Statement of Work (SOW) for the Radiology/Imaging Department at VA Maine Healthcare System Pyxis MedStation ES Introduction This Statement of Work (SOW) outlines the requirements for implementing a new medication management system for the Togus Veterans Affairs (VA) Medical Center in Augusta, ME. The system will enhance medication management, accountability, and security within the Radiology Department at VA Maine. It will be installed in the Computed Tomography (CT) imaging suite. 2.0 Background The Togus VA Medical Center is strengthening medication security and accountability by implementing automated dispensing cabinet (ADC) technology in clinical areas that do not currently utilize these systems. ADCs enhance medication safety, streamline medication management processes, and support the unique operational needs of the Radiology Department. In accordance with VHA Directive 1195 High Alert Medications, all high alert medications, including controlled substances, must be stored within an ADC. Installing a MedStation ES unit will ensure that all medications currently stored in the CT imaging suite are secured within an ADC, thereby maintaining compliance with VHA directives and regulatory standards. VA Maine currently utilizes Pyxis MedStations throughout the campus; therefore, a Pyxis MedStation ES was selected to ensure continuity and consistency across the existing ADC infrastructure. 3.0 Scope The scope of this project includes the procurement and implementation of the Pyxis ES medication management system, including: a) Installation of new Pyxis medication station within the CT imaging suite. b) Addition of newly installed MedStation to the Pyxis server. c) The vendor is responsible for delivering a complete solution, inclusive of all required hardware, installation, integration, data migration, and comprehensive user training to ensure optimal operation of the system. d) The vendor will submit a detailed written implementation after contract award. e) The vendor will conduct thorough system testing in coordination with pharmacy, radiology, and anesthesia staff after installation completion. The vendor shall provide at least one day of on-site support to ensure seamless operation and network functionality. f) Technical guidance and network requirements will be provided to VA technical staff to facilitate site preparation and address any potential integration issues prior to system installation. g) On-site training will be offered for pharmacy super users, ensuring they are equipped to manage and utilize the new medication management system effectively. 4.0 Applicable Directives The new Pyxis system implementation must comply with all relevant manufacturer specifications, regulations, and pertinent health and safety standards, ensuring the system meets the operational requirements set forth for a healthcare facility. 5.0 Performance Requirements The contractor shall successfully execute the following major tasks: - Develop and present a detailed project plan outlining the timeline and steps for deploying the medication management system within the CT imaging suite. - Ensure the implementation of the Pyxis ES system effectively meets the needs of the radiology, pharmacy, and anesthesia departments, while allowing for minimal disruption to ongoing operations. - Provide necessary support for successful integration into the existing hospital network and functionality. 6.0 Deliverables The vendor is responsible for delivering the following to guarantee the completion and operation of the new medication management system: a) A complete solution to install and integrate the Pyxis ES system for the radiology department, encompassing all hardware, software, and necessary services. b) Supply of all related equipment required for the effective operation of the medication management system. c) Management of data migration from any existing relevant sources to ensure continuity of medication information. e) Successful integration with the hospital's network, collaborating closely with VA IT personnel. f) The VA will retain ownership of all hard drives and data storage systems that contain electronic protected health information (ePHI). g) On-site superuser training for pharmacy staff, equipping them with necessary skills for system management and operation.
