Description

The U.S. Embassy London requires a contractor to provide preventive maintenance service of computer room air conditioners (CRAC), located within the Chancery building, in accordance with the attached Statement of Work, in a safe, reliable, and efficient operating condition. The Contractor shall provide all necessary managerial, administrative, and direct labor personnel, and as well as all necessary transportation, equipment, tools, repair parts, supplies and materials required to perform inspection, maintenance, repairs and component replacement as required to maintain the relevant equipment or system in accordance with the manufacturer's specifications and the frequencies specified in the SOW. An award will be made to the lowest priced, technically acceptable offeror who is a responsible Contractor. The Government may award a Purchase Order / Contract based on an initial offer without discussion. Any awards made are firm fixed price type agreements and payments for services will be made after the services based on quantities and unit prices only to the extent specifically provided in the contract. Contractors should submit invoices for payment after full completion of the services. Payment is made by electronic funds transfer to contractor’s bank account. Only companies specializing in this field should express interest in this opportunity. We will hold a site visit at the US Embassy, London, CAC Main, 33 Nine Elms Lane, London, UK, on Monday March 9th, 2026, at 10.30am local time. Names of attendees need to be submitted to procurement_box5@state.gov by Tuesday, March 3rd, 2026, at 5:00pm local time. Please ensure all attendees bring a picture form of identification within them on the day. Questions will be due by Thursday, March 12th, 2026, at 5:00pm. Answers to these questions will be returned by Tuesday, March 17th, 2026, at 5:00pm local time. Quotations are due by 17:00 on or before Friday, March 20th, 2026. No quotations will be accepted after this time. Quotations must be in English and incomplete quotations will not be accepted. Your quotation must be submitted electronically to Procurement_Box5@state.gov. It is important to make sure the submission is made in specific size and format; in MS-Word 2007/2010 or MS-Excel 2007/2010 or Adobe Acrobat (pdf) file format. The file size must not exceed 30MB. If the file size should exceed the 30MB, the submission must be made in separate files and attached to separate emails with less than 30MB each. Interested parties should download the RFQ package attached and provide their quotation to Procurement_Box5@state.gov, referencing I.D. # 19UK5626Q0018 in the Subject Line, before 1700 GMT on March 20th, 2026.
